A schedule runs the same export automatically, daily, weekly or monthly, and emails the download link to the people you choose.
Create a schedule
- Open the Schedules tab and click New schedule.
- Set up the export exactly as you would on New export: what to export, date range, filters and columns.
- Under When, choose Daily, Weekly (and the day) or Monthly (and the day of the month), and a time. Times are in your account's time zone.
- Under Recipients, choose who should receive the download link. Only agents and admins in your account can be recipients.
- Click Save schedule.
Keep the date range up to date
To export recent records each time, use a quick range such as Last 30 days. The schedule shows "Last 30 days", and every run covers the 30 days before it runs, so a Monday schedule always exports the latest month. If you type exact dates instead, every run exports that same fixed window.
Good to know
- Monthly on the 29th, 30th or 31st: in shorter months the schedule runs on the last day of the month.
- Enabled switch: turn a schedule off in the list to pause it without deleting it.
- Editing a schedule makes you its owner. Scheduled exports run with the owner's admin access.
- Custom fields: with Include custom fields ticked, a schedule exports the custom fields that existed when it was last saved. After adding a new custom field, open the schedule and save it again to include it.
- You can have up to 100 schedules.
Why was my schedule paused?
A schedule is paused automatically, and every admin receives an email, when:
- its owner is no longer a Zendesk admin. An admin should open the schedule and save it, which makes them the new owner.
- its filters are no longer valid. For example, a custom field it filters on was deleted or changed type. Open the schedule, remove or fix that filter, and save it.
Scheduled exports also stop while Zendesk needs to be reconnected. Open the app and click Reconnect Zendesk.
