Bulk editing and deleting users and organisations

Select the records you want, then choose Edit or Delete from the bar that appears above the table.

Selecting records

  • Tick the box on each row you want.
  • Tick the box in the table header to select every row on the current page.
  • To go beyond the loaded records, click Select all matching in the selection bar. This selects every record that matches your current search and filters, even if there are more than the 5,000 shown in the table.
  • Click Clear selection to start again. Unticking any row also turns off Select all matching.

Editing users

  1. Select the users and click Edit.
  2. Choose your changes:
    • Add tags: type a tag and press Enter. You can add several. Users keep their existing tags.
    • Set organization: start typing to search your organisations.
    • Custom user fields: set a new value for any supported field.
  3. Click Update. The button shows how many users will change.

Only the fields you change are updated. Anything you leave empty or set to No change stays as it is. The app adds tags but doesn't remove them.

Editing organisations

On the Organizations tab, select organisations and click Edit. You can:

  • Add tags (existing tags are kept)
  • Add domains (existing domains are kept)
  • Replace notes (leave empty to keep each organisation's current notes)

Deleting users or organisations

  1. Select the records and click Delete.
  2. Read the confirmation carefully, then confirm.

Deleting can't be undone from the app. Deleting a user also affects their tickets and history in Zendesk. Consider exporting the records to CSV first as a backup.

While a bulk action runs

A progress bar shows how far through the job is. Keep the app open until it finishes: the work runs in your browser, so closing the tab stops it part-way. Large jobs take a while because Zendesk limits how fast changes can be made. As a rough guide, allow several minutes per 10,000 records.

When you've used Select all matching, the app first gathers every matching record, then starts making changes. Both stages show in the progress bar.

Checking the results

When the job finishes, the app tells you how many records were updated or deleted, and updates the rows in the table straight away. If some records couldn't be changed, it lists them by name with the reason. The most common one: only the account owner can edit the account owner.

Search results can take a few minutes to reflect your changes. Click Refresh after a short wait if a filter still shows old values.
